Request for Tender: Videography and Live Streaming Services

The Irish Horse Board (IHB) is seeking experienced videographers to provide video and live streaming services for equestrian events and promotional content. We aim to establish a panel of qualified professionals for the years 2025 and 2026. Interested videographers are invited to submit competitive tenders separately for each of the following services:

Service Requirements  (Please number each separate quotation as “service 1”, “Service 2” etc):

Service 1.    One-Day Video Recording
  • Single camera setup to record horse rounds
  • Post-production: Split footage into individual rounds
  • Deliver content suitable for upload to Vimeo or similar platforms
Service 2.    One-Day Live Streaming
  • Live stream the entire event
  • Post-production: Split recorded footage into individual rounds
  • Deliver content suitable for storage or upload
Service 3.    Two-Day Live Streaming
  • Provide live streaming coverage of equestrian events in Ireland
  • Post-production as per one-day live streaming requirements
Service 4.    Feature Production
  • One day of filming plus editing
  • Create breeder/producer features showcasing Irish Horses or equestrians
  • Options:
a) Up to 8 individual short pieces
b) One large feature piece
Service 5.    Additional Camera Operator
  • Provide pricing for an additional camera operator for each/any of the above scenarios
  • Detail any changes in equipment or workflow when using two operators

Tender Submission Requirements

Videographers are requested to provide

  1. Comprehensive quote for each of the four service types (1-4) with a single operator
  2. Separate quotes for each service type (1-4) with an additional camera operator
  3. All-inclusive pricing structure covering:
    • Equipment
    • Insurance
    • Personnel (including additional operator costs)
    • Post-production
    • Travel and accommodation expenses
    • Any additional costs
  4. Clearly state the VAT component in your quote
  5. Portfolio or showreel demonstrating relevant experience in equestrian videography
  6. Details of equipment to be used for each service type, including any changes when using   two operators
  7. Proposed workflow and delivery timelines for both single and dual operator scenarios.

Evaluation Criteria

Tenders will be evaluated based on:

  1. Technical expertise and experience (35%)
  2. Quality of proposed services (25%)
  3. Cost-effectiveness (20%)
  4. Equipment and resources (10%)
  5. Flexibility and scalability (ability to provide additional operator) (10%)
